How To Ship Samples

Transformer oil sampling is a critical aspect of preventive maintenance for electrical equipment, providing valuable insights into the condition of the transformer and its insulation system. Whether you’re a seasoned professional or new to the process, ensuring that oil samples are properly collected and shipped is essential for accurate diagnostic testing.

In this blog, we’ll explore the best practices for shipping transformer oil samples, helping you navigate the process.

1. Collect Samples Safely!

Conducting transformer oil sampling requires interaction with live electrical equipment and flammable liquids. Thus, adhering to safety measures is critical in mitigating hazards and harm. Key safety guidelines should include:

  • Wearing appropriate personal protective equipment (PPE) like gloves, eye protection, and flame-resistant attire.
  • Employing adequate instruments and gear, specifically designed for high-voltage tasks.
  • Steering clear of sampling activities during unfavorable weather conditions such as precipitation, snowfall, fog, dust, or excessive moisture.
  • Staying clear of ignition or heat sources in the vicinity of the transformer or oil.
  • Ensuring the correct disposal of residual oil and materials within regulatory requirements.
  • Following your company’s protocols and, most importantly, asking for help or clarification when needed!

2. Proper Sample Collection

Before diving into the shipping process, it’s crucial to start with proper sample collection techniques. Follow these guidelines to ensure accurate and representative oil samples:

  • First, read and understand ASTM D923, your company’s standard protocols, and any applicable manufacturer instructions or guidelines.
  • Next, ensure the sampling materials that you received from TJH2b are clean, dry, and ready for use.
  • Identify the oil sampling valve on the transformer, typically found on the transformer tank’s side.
  • Flush the valve according to the procedure to clear out any possible contaminants or debris.
  • Fill your sample container(s) gently and slowly to prevent air bubbles.
  • Afterward, securely close the valve and your sample container(s) to avoid any leakage or spillage.
  • Label your sample container(s) with necessary details like transformer identification, the date and time of sample collection, oil temperature, and the sampling point.
  • Finally, send your sample to TJH2b for analysis, accompanied by a sample request form outlining the required tests.

3. Secure Packaging

Once the oil samples are collected, it’s time to prepare them for shipment. Proper packaging is essential to prevent leakage and ensure sample integrity during transit. Consider the following tips:

  • Use leak-proof containers designed specifically for oil sampling.
  • Seal the containers tightly to prevent spills or leaks.
  • Place the containers in secondary packaging, such as sturdy boxes or crates.
  • Label each container clearly with essential information, including sample identification, sampling location, and sampling date.

4. Compliance with Shipping Regulations

Shipping oil samples requires compliance with various regulations and guidelines. Stay informed about relevant shipping regulations to ensure safe and compliant transportation:

  • Familiarize yourself with applicable shipping regulations, including those outlined by international bodies such as IATA (International Air Transport Association) and domestic authorities like the Department of Transportation (DOT).
  • Properly classify samples according to their hazard class and ensure compliance with packaging, labeling, and documentation requirements.
  • Utilize certified shipping carriers with expertise in handling hazardous materials to guarantee safe and compliant transportation.
  • Coordinate with your logistics team to schedule sample pickups and optimize shipping routes for maximum efficiency.
  • Provide accurate and complete documentation, including shipping manifests and customs paperwork for international shipments, to prevent delays at customs checkpoints.

5. Selecting a Reliable Carrier

For oil analysis to be truly effective, the entire process should be executed promptly. It’s important to preserve the quality of your oil sample. If a sample is left in the bottle for too long, the results may be affected. If the oil sample is not sent to the lab promptly, it may not accurately reflect its current state or the state of the asset when sampled.

That is why it is crucial to choose a shipping method that suits your needs. Selecting one of the reliable shipping carriers with insurance is the best option. For those sending multiple oil samples, we recommend sending them in one box to ensure they all arrive simultaneously. We also recommend using a tracking number to keep tabs on your shipment’s status.
